Who we are

RemortgageWatch is a mortgage tracking and record-keeping service. For the purposes of UK data protection law, RemortgageWatch is the controller of the personal data described in this policy.

What personal data we collect

We may collect and store the following categories of personal data:

  • account details such as your email address and sign-in information;
  • property and mortgage information you enter, such as property address, lender, rate, balances, dates, valuations, payment day, notes, and renewal information;
  • documents and document metadata if you choose to upload or reference them;
  • support and correspondence records if you contact us, including bug reports and account requests;
  • technical, usage, and security information needed to run and improve the service, such as logs, session data, page visits, clicks, feature usage, browser metadata, and similar analytics signals;

Please do not upload information that is unnecessary for mortgage tracking or any special category data unless it is genuinely needed and you are comfortable sharing it.

How we use your data

We use your data to:

  • create and manage your account;
  • store your mortgage records and show them back to you;
  • calculate timelines, LTV, projections, and related summaries;
  • process files you upload for extraction or prefill features;
  • maintain security, prevent misuse, troubleshoot issues, and improve reliability;
  • understand how the website and dashboard are being used so we can improve the product;
  • respond to your questions and fulfil data rights requests;
  • meet legal, regulatory, tax, accounting, or compliance obligations where applicable.

Our lawful bases

Under UK GDPR, we generally rely on the following lawful bases:

  • Contract: where processing is needed to provide the service you asked for, such as storing your mortgage data and showing your dashboard.
  • Legitimate interests: where reasonably necessary to keep the service secure, prevent abuse, investigate faults, support users, and make proportionate product improvements.
  • Legal obligation: where we must keep or disclose information to comply with applicable law, regulation, court orders, or lawful requests.
  • Consent: only where we specifically ask for it and rely on it.

Product analytics

We use PostHog for product analytics. This helps us understand how visitors and signed-in users move through the website and dashboard, which pages are viewed, which actions are taken, and which features are being used.

We use this information to improve onboarding, understand product usage, troubleshoot friction, and decide what to build next. We do not use PostHog for advertising or to sell your data.

AI-assisted extraction and uploaded files

If you upload an offer letter or similar file for extraction, we process that file to identify mortgage details and prefill parts of the service. This may include sending the file content to a specialist processor that helps us perform the extraction.

Extraction is intended to assist with data entry. It can be incomplete or wrong, so you should review all fields before saving them. We do not use the extraction feature to make solely automated decisions about you.

Who we share data with

We do not sell your personal data. We may share it with carefully selected service providers acting on our behalf, such as:

  • hosting, database, authentication, storage, and infrastructure providers;
  • product analytics providers such as PostHog used to understand product usage and improve the service;
  • document processing or AI providers used to power extraction features;
  • professional advisers, insurers, auditors, or legal counsel where needed;
  • authorities or counterparties where disclosure is required by law or to protect rights and safety.

Where a provider acts as our processor, we expect them to handle data only on our instructions and with appropriate protections.

International transfers

Some providers may process or store data outside the UK. Where that happens, we aim to use appropriate safeguards recognised under UK data protection law, such as adequacy regulations or contractual safeguards.

How long we keep data

We keep personal data only for as long as reasonably necessary for the purposes in this policy, including to provide the service, maintain records, resolve disputes, and comply with legal obligations.

  • Account and mortgage records are generally kept while your account remains active.
  • If you ask us to delete your account, we aim to delete or anonymise associated data unless we need to keep some of it for legal, security, fraud-prevention, or audit reasons.
  • Technical logs and backups may persist for a limited period before being overwritten or deleted.

Security

We use reasonable technical and organisational measures intended to protect personal data against unauthorised access, loss, misuse, or alteration. No online service can guarantee absolute security, so you should also keep your password and access to your email account secure.

Cookies and similar technologies

We use essential cookies or similar session technologies to keep you signed in, maintain security, and operate the service. We also use analytics cookies or similar technologies, including through PostHog, to understand product usage and improve the service. We do not use advertising cookies.

Your rights

Depending on the circumstances, you may have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to erase your data;
  • ask us to restrict how we use your data;
  • object to processing carried out on the basis of legitimate interests;
